Welcome to the Pop This Shop Help Center. Here you find short answers about finding a space, listing your space or brand, payments, cancellations and your account. Can’t find what you need? Send us a message, we’re happy to help.
This page explains how the platform works in plain language. If anything here seems different from our Terms of Service, the Terms apply.
1. Getting started
1.1 What is Pop This Shop?
Pop This Shop is a marketplace for temporary spaces. Brands, makers and creators (tenants) find a space for a pop-up shop, a showroom, an event or a brand activation. Owners of shops, studios, gardens, offices and other spaces (landlords) rent them out for a few days, weeks or months.
We bring you together and handle the booking, the payment and the documents. The rental itself is an agreement between the tenant and the landlord.
1.2 How it works for brands and creators
- Search for a space by city, dates, size and type.
- Request to book. Tell the landlord about your concept and your dates.
- Plan a viewing if you’d like to see the space first. You get the exact address in your viewing card once the viewing is confirmed.
- Confirm and pay on Pop This Shop. You receive your invoices straight away.
- Sign the rental agreement online.
- Open your pop-up!
You can also create a free brand listing: a short, anonymous description of your concept, so landlords with a matching space can find you. Your brand name is not shown on it. A landlord only sees it when you send them a booking request. That keeps it safe and fair for everybody (see 3.3).
1.3 How it works for landlords
- List your space for free, with photos, price and availability. We review every listing before it goes live.
- Receive requests from brands and decide who you’d like to welcome.
- Show the space during a viewing, planned on the platform.
- Confirm the booking. The tenant pays through Pop This Shop.
- Get paid automatically to your bank account after each rental month.
1.4 Your account
One account lets you rent a space and list one. You don’t need to choose. You can browse all spaces and brand listings without an account.
To book or to list, you complete these steps once:
- your name, email, phone number, year of birth and address, plus your company and VAT number if you have one. You must be 18 or older;
- a quick ID check with a photo of your ID and a selfie, handled by our payment partner Stripe;
- a payment method, and for payouts your bank account.
2. Finding and booking a space
2.1 Searching
Search by city or area, dates, type of space and size. Use the filters to narrow things down: your budget per day, size, foot traffic, facilities and the activities allowed. Save spaces you like to your Favourites, or click Get alerts for this search to receive an email when a new space matches.
For privacy, a listing shows the city and area and an approximate spot on the map, never the exact address.
2.2 How listings are ordered
Featured listings are shown first and carry the label “Featured”. Featured is a paid option (see 8.1). After that, listings follow the order you choose, for example the newest first or by price. Your search location, dates and filters decide which listings you see. We don’t rank listings in any other hidden way.
2.3 Requesting to book
On the listing, choose your dates and click Request to book. Tell the landlord about your concept. You can add your brand name, photos and a short description. The landlord sees these when they open your request.
Some spaces can only be booked in fixed blocks, for example per month starting on a fixed weekday. In that case you choose one of the available blocks.
If the landlord doesn’t reply in time, the request expires and nothing is charged.
2.4 Viewings
Most landlords like to meet you first. You plan the viewing in the chat. Once it’s confirmed, you get a viewing card with the date and time, the exact address and the landlord’s first name. Their phone number appears shortly before the viewing, in case you’re running late.
After the viewing you choose to confirm the booking, ask for other dates or close the request. Closing the request after a viewing costs nothing if you haven’t paid yet.
Some landlords allow booking without a viewing. You see this on the listing.
2.5 Confirming and paying
When you confirm, you pay through Pop This Shop (see 4.2). Your booking is confirmed once the payment is received. You receive your invoices by email, and you can always download them on your booking page under Your documents.
2.6 The rental agreement
We recommend a rental agreement for every booking. Pop This Shop prepares it with the booking details already filled in. The landlord adds their own terms or uploads their own contract, and you both sign online. You see the landlord’s terms before you sign. It protects you both if something goes wrong.
2.7 Your pop-up starts
On the first day, you get a message asking whether you’ve received the keys or access. Please confirm with one click within 2 days. It helps both of you if something needs to be sorted out later.
Something isn’t right, for example no access or a space that’s very different from the listing? Tell the landlord in the chat straight away, and contact us if you can’t sort it out together.
2.8 Booking status
You find all your bookings in your account. The status tells you where you are:
- Waiting for the landlord: your request is sent. Nothing is charged yet.
- Unpaid: the landlord accepted. Pay to confirm the booking.
- Confirmed: the booking is paid and confirmed.
- Completed: the booking has ended. You can now leave a review (see 7.6).
- Cancelled or expired: the booking won’t go ahead. See 5 for what you get back.
2.9 Licences and space rules
As a tenant, you take care of the licences and registrations your own activity needs, for example to sell food or serve alcohol. Follow the space rules in the listing and in the rental agreement, and use the space only for the activity you booked it for.
2.10 At the end of your pop-up
Agree in the chat how you hand back the keys or access. Leave the space as you found it, and walk through it together if you can. Questions about damage or a deposit are handled between tenant and landlord, under the rental agreement.
3. Listing your space or brand
3.1 Creating a space listing
Go to List your space and add:
- a clear title and description: what the space is and what it’s good for;
- photos. Good daylight photos get more requests;
- size, facilities, space rules and the activities allowed;
- your price per day, week or month, and any extra costs (such as cleaning) in the price fields;
- availability and minimum stay, or fixed booking blocks;
- whether a viewing is required.
You confirm that you have the right to rent out the space, as the owner or with written permission from the owner.
3.2 Creating a brand listing
Describe your concept by category and style, for example “sustainable fashion label from Antwerp”. Don’t use your brand name, logo, webshop or social media on the public listing: landlords see your brand when you send them a request (see 3.3). If you run several concepts, you can give each brand listing its own brand and social media accounts. These stay private.
3.3 Safe and fair for everybody
On Pop This Shop, both sides share only what’s needed, at the moment it’s needed:
- Brand listings are anonymous. They describe the concept, not the brand. A landlord sees your brand name only when you send them a booking request.
- Space listings show the city and area, never the exact address. The tenant gets the address with the viewing card.
Why this matters:
- Fair: landlords choose on the concept, so a new label gets the same chance as a well-known brand.
- Safe: your plans stay private until you decide who to talk to, and nobody gets your details before you’re ready to share them.
- Protected: because the introduction happens on Pop This Shop, both sides can count on the payment, the rental agreement and our help.
3.4 Listing guidelines
To keep Pop This Shop fair and safe, listings may not contain:
- phone numbers, emails, websites, social media handles or QR codes, in the text or in photos (signs, stickers, business cards);
- the street name or house number;
- requests to pay outside Pop This Shop, or costs that aren’t in the price fields;
- conditions that discriminate against people;
- other people’s private information, or recognisable people without their permission;
- misleading, illegal, offensive or copied content.
3.5 Review of listings
Every new listing and every change is checked before it goes live, first automatically and then, where needed, by our team. Listings without any issue can go live straight away. If something needs to change, we send you a message with exactly what to adjust and why, in your language and in English.
While changes to a published listing are being reviewed, your current listing stays online. A listing can’t be moved to a completely different space: a new space needs a new listing, so reviews always belong to the right place.
3.6 Choosing your tenants
You decide who rents your space. You see the brand’s concept, rating and ID check before you accept. Please reply quickly: we remind you when a brand is waiting.
3.7 Your calendar
Keep your availability up to date, so brands only request dates that are free. Under Calendar sync in your account you can block or free up dates per listing. Do you also rent out your space elsewhere? Connect your other calendars with the import and export links, so a booked date is blocked everywhere. A confirmed booking must always be honoured.
3.8 Hiding your listing
Not available for a while? You can hide your listing at any time and show it again later. We never delete your listing ourselves. If a listing breaks our guidelines, we may hide it and tell you why (see 7.5).
4. Payments, fees and invoices
4.1 What a tenant pays
As soon as you choose your dates on a listing, you see the full price, split into its parts, before you send your request. You aren’t charged yet.
- Rent, as set by the landlord, and any extras such as a cleaning fee.
- Pop This Shop administration fee: 3% of the rent, with a minimum of €50.
- Payment processing fee (Stripe): 3% of the amount paid.
- VAT on the fees, and on the rent if the landlord charges VAT.
A security deposit, if the landlord asks for one, is agreed and paid directly between you and the landlord, not through Pop This Shop.
4.2 Payment methods
You pay through our payment partner Stripe. The options depend on your country and the amount. Up to €2.500 you can pay by card or with a local method such as Bancontact or iDEAL. For larger amounts you pay with a method you confirm in your banking app, or by bank transfer. Prices can be shown in your own currency as an estimate. You always pay in the currency of the listing.
4.3 Longer bookings: paying per month
For bookings of more than a month, you pay per month. At booking you pay the first month and the fees. Each next month is collected 60 days before it starts, and you get an email beforehand. If a payment fails, you get a link to pay. Months that haven’t started yet are not charged when a booking is cancelled.
4.4 What a landlord earns
You set the rent. Pop This Shop charges an administration fee of 11% of the rent and extras (minimum €150), plus VAT. You receive the rent and extras minus that fee. Your booking page shows the calculation.
4.5 When landlords get paid
Payouts go to your bank account through Stripe, per rental month:
- for your first 5 bookings: 30 days after the end of each rental month;
- after that: 14 days after the end of each rental month.
You can follow every payout under Payouts in your account. To cover cancellation penalties, a landlord adds a card when they publish a space. It is only charged in the cases described in 5.2.
4.6 Invoices and documents
Every document is sent to you by email as a PDF, and you can always download it again on the booking page under Your documents and in your account under Billing & documents. You only see the documents that concern you.
| Document | For | What’s in it |
|---|---|---|
| Pop This Shop invoice (fees) | Tenant | The administration fee and the payment processing fee, with VAT. Never the rent. |
| Rental invoice | Tenant (the landlord gets a copy) | The rent and extras, invoiced in the landlord’s name. Pop This Shop prepares it for the landlord (self-billing). |
| Pop This Shop invoice (administration fee) | Landlord | The administration fee on the booking, with VAT. |
| Payout statement | Landlord | What you receive: rent and extras minus the administration fee. |
| Rental agreement | Both | The contract between tenant and landlord, signed online. |
For bookings paid per month, you get these documents for every month. An invoice is never changed afterwards: a change is always made with a credit note.
Self-billing: to save you work, Pop This Shop prepares the rental invoice in the landlord’s name. As a landlord you agree to this once, before your first booking. You can check every invoice and report it if something is wrong.
4.7 VAT
If you’re VAT-registered, add your VAT number in your profile. Whether VAT applies to your rent depends on your situation and country. If in doubt, ask your accountant. As a platform, we report the income of landlords to the tax authorities where the law requires it (DAC7).
4.8 Refunds
Refunds always go back to the payment method you used. Before you confirm a cancellation, you see the amount and where it goes. A refund to a card usually shows within 5 to 10 working days.
5. Cancellations and changes
5.1 If you cancel as a tenant
Before you confirm, you see exactly what you get back. It depends on how long before the start date you cancel, and it’s based on the amount you’ve already paid.
| When you cancel | You get back |
|---|---|
| More than 3 months before the start | The rent and extras you paid, and 90% of the administration fee, with the VAT on it |
| Between 1 and 3 months before the start | 50% of the rent you paid, the extras, and 50% of the administration fee, with the VAT on it. The rest of the rent goes to the landlord, who kept the dates free for you. |
| Less than 1 month before the start | The extras such as cleaning, with their VAT. The rent you paid goes to the landlord. |
On top of that, a fixed cancellation fee of €75 is charged. The payment processing fee is never refunded when you cancel, because the payment provider doesn’t refund it to us either. We ask you for the reason of the cancellation: it helps us and the landlord.
5.2 If the landlord cancels
You get everything back: rent, extras, all fees and the VAT. The landlord pays a penalty, depending on how close to the start date they cancel:
| When the landlord cancels | The landlord pays |
|---|---|
| More than 3 months before the start | €150 |
| Between 1 and 3 months before the start | 50% of the administration fee, at least €250 |
| Less than 1 month before the start | 100% of the administration fee, at least €300 |
The landlord also pays the payment processing fee that the tenant gets back. The landlord sees the full amount before confirming.
5.3 Changing dates
Tenants can ask for other dates from the booking page. The landlord accepts or declines. If the new dates cost more, you pay the difference. If they cost less, you receive a credit note for the difference in rent.
Want to stay longer, or come back for another pop-up? Ask for other dates or send a new request. Extensions and new bookings with the same landlord also go through Pop This Shop (see 6.3).
6. Messages and staying on Pop This Shop
6.1 Why book through Pop This Shop?
- Payment through Pop This Shop, and automatic payouts for landlords.
- A ready-made rental agreement that protects you both, and all invoices for every booking.
- Ratings and ID checks, so you know who you’re dealing with.
- Help from our team if something needs sorting out.
6.2 When you see each other’s contact details
Contact details are shared step by step, at the moment you need them: the exact address with the viewing card, the phone number shortly before the viewing, and the brand name when a tenant sends a request. Until then, phone numbers, emails, websites and social media handles are hidden automatically in messages. Bank and payment details always stay hidden.
Messages are checked automatically to protect both sides, and our team may look at them when needed, as explained in our Privacy Policy. Important decisions are always taken by a person.
6.3 Booking outside Pop This Shop
When you meet through Pop This Shop, bookings between you go through Pop This Shop for 2 years from your first contact on the platform. That covers other dates, other spaces and extensions too.
If a landlord and that tenant make a booking outside the platform during this period, the landlord owes Pop This Shop a fee of one month’s rent and the costs, including research costs of €250. See our Terms.
6.4 Signing a long-term lease
Did the pop-up go so well that you’re signing a commercial lease of at least 1 year? Congratulations! As a landlord, declare it in your account within 14 days of signing. You pay a one-off protection buyout of one month's rent. Good news: the fees you paid us on bookings with this tenant in the last 12 months come off it, with a minimum of €250 or 25% of one month’s rent, whichever is higher. After that, the lease is all yours.
7. Trust and safety
7.1 ID checks and ratings
- ID checked: this member completed an identity check with our payment partner Stripe.
- Rating: based on reviews after completed bookings. Tenants and landlords are rated separately. The rating next to a name is the score for the person; a space or a brand has its own score.
Badges and ratings help you decide, but they’re not a guarantee. Use your own judgement and meet during a viewing.
7.2 Insurance and deposit
Pop This Shop doesn’t provide insurance. Tenants and landlords take care of their own insurance, such as liability or event insurance. A security deposit is agreed and paid directly between tenant and landlord.
7.3 Something went wrong between tenant and landlord
The rental agreement is between the tenant and the landlord, so please talk to each other first, through the Pop This Shop chat. Can’t work it out? Contact us and we’ll help with the booking and payment side.
7.4 Reporting content or a member
See something that doesn’t feel right, such as a listing, a message or a member? Tell us through the contact form. You get a ticket number, and we review every report.
7.5 If you disagree with a decision
If we change, hide or refuse your listing, banner or account, we tell you why. Don’t agree? Reply to our message or use the contact form with your ticket number, and a person looks at it again.
7.6 Reviews
After a completed booking through Pop This Shop, tenant and landlord review each other with two scores from 1 to 5, both required: the tenant rates the space and the landlord, the landlord rates the brand and the tenant. A tenant without a brand listing gets one score, for the person. The score for the space or the brand shows on that listing; the score for the person shows next to the name of the member, for example in booking requests and at “Meet your landlord”. Only bookings through Pop This Shop count, so your rating grows with every booking on the platform. Tenants and landlords are rated separately.
A review must describe your own experience. Reviews may not be bought, offered in exchange for a discount or asked for in return for something. We don’t remove a review because someone asks us to, but we hide reviews that break our rules. Think a review breaks the rules? Let us know.
7.7 Our community rules
- Treat everyone with respect. No harassment and no discrimination, for example because of origin, gender, religion, disability, age or sexual orientation.
- Give correct information in listings, requests, messages and reviews.
- Keep bookings, payments and contact details on Pop This Shop, as explained in 6.
- Only use spaces for legal activities.
If these rules are broken, we can hide content, send a warning, limit some functions or close an account. Repeated attempts to share contact details too early in the chat count as warnings over a period of 90 days. A person always decides on limits or closing an account, and you always hear why.
7.8 Protect yourself and your account
- Only pay on the Pop This Shop payment page. Never pay a landlord directly, and don’t follow payment instructions you receive in a message.
- We never ask for your password or card details by message, email or phone.
- Be careful with links in emails. Check that they lead to popthisshop.com before you log in.
- Use a strong password that you don’t use anywhere else.
- Think someone else used your account? Change your password and contact us straight away.
8. Promote your listing or brand
8.1 Featured listing
A Featured listing is shown first in the overview and in the search results, with the label “Featured”. It’s a one-off payment, without a subscription:
7 days for €50, 30 days for €150 or 90 days for €3758.2 Banner advertising
Show your banner to the landlords and brands who use Pop This Shop. You book a package of views or a share of a position per week, upload your image and link, and see an example before you pay. Every banner is checked before it goes live. If something needs to change, we tell you what and why, and you can upload a corrected banner within 7 days, up to 2 times. Banners are not refunded once the review has started. You receive a report with the country, city, language and device of the people who saw your banner.
8.3 Press release and social media
When you book a pop-up, Pop This Shop can write a press release about it and send it to the media. You check the draft before it goes out. We can also share your pop-up on our Instagram, Facebook, LinkedIn and TikTok, and tag your brand. You choose this in your profile. With your permission, we may also feature your pop-up as a success story on Pop This Shop. You can withdraw your permission at any time for future posts.
8.4 Promo codes
Sometimes we offer a promo code, for example a free Featured listing or banner during our launch. Enter it in the code box when you book. Each code has its own conditions, such as one use per account and a maximum duration, which you see with the code. A promo code can’t be exchanged for money.
9. Your account and privacy
9.1 Managing your account
Update your details, payment methods and notification settings under My account.
9.2 Your data
We only use your data to run the platform, handle payments and keep it safe. Read how in our Privacy Policy.
9.3 Closing your account
You can close your account yourself under My account, as long as you have no open bookings. Your listings, profile and reviews are then no longer shown, and your marketing data is removed. Some data must be kept for a legal period, for example invoices. Changed your mind? You can reopen your account with your email address.
10. Contact us
Couldn’t find your answer? Send us a message through the contact form. You get a ticket number, and we reply as soon as we can. Real people read every message.
